When schools start researching bus tracking, two acronyms come up immediately — RFID and GPS — usually framed as competitors. They aren't. They answer two different questions, and understanding the difference will save your school from buying the wrong thing (or paying twice for the right one).
Two technologies, two different questions
GPS answers: "Where is the bus?"
A GPS tracker — either a device fitted in the vehicle or the driver's smartphone — continuously reports the bus's position. That position feeds a live map for parents and the school office, and powers proximity alerts ("the bus is under 1 km from your stop"). GPS knows everything about the vehicle and nothing about who is inside it.
RFID answers: "Is my child on the bus?"
RFID (radio-frequency identification) gives each student a card or tag. A reader fitted at the bus door logs each card as the child taps in and out. RFID knows exactly who boarded and when — and nothing about where the bus is. It's an attendance technology, not a location technology.
What each one costs to run
The cost difference is less about the sticker price and more about what the system demands over time.
RFID's real costs
- A reader installed and powered in every bus.
- A card or tag issued to every student — and reissued every time one is lost, which with school-age children is a permanent operational chore.
- The discipline of every child actually tapping, every time, on a crowded school bus — in practice the weakest link in the system.
GPS's real costs
- Device-based: hardware purchase and fitting per bus, a SIM card with a recurring data plan per device, and maintenance when devices fail — plus, typically, a monthly software subscription (see our cost guide).
- App-based: no vehicle hardware at all — the driver's phone does the tracking through an app. The costs collapse to whatever the software charges.
The part nobody tells you: you can get RFID's answer without RFID
The question RFID exists to answer — did my child actually get on the bus? — doesn't strictly require cards and readers. In app-based systems, the driver (or attendant) confirms boarding child-by-child at each stop on their phone, and each confirmation instantly notifies that child's parents, with a timestamp. The same happens at drop-off.

- How is boarding confirmed, and what happens when a child forgets to tap (RFID) or a driver skips a step (app)?
- What does the system show when GPS signal drops — a stale position, or the truth?
- Where does child data live, who can see it, and when is it deleted?
